Administrative Assistant

Position Summary

Interlink CFO is seeking a highly organized and proactive Administrative Assistant to support daily business operations, marketing initiatives, project coordination, and administrative needs. This part-time role is ideal for someone who enjoys balancing creative marketing responsibilities with operational and organizational support in a fast-paced small business environment. The position offers firsthand exposure to business strategy, marketing, project management, and consulting operations while supporting a growing fractional CFO and advisory firm. This role is expected to average 15-20 hours per week with flexibility based on business needs. In-person availability required for this position between the hours of 9am and 3pm EST.

Key Responsibilities

Marketing and Content Creation

  • Assist with creating, organizing, and scheduling social media content across multiple platforms.
  • Support the preparation and formatting of blogs, newsletters, graphics, and marketing materials.
  • Maintain marketing calendars, assist with content planning, and campaign coordination.
  • Help monitor engagement metrics and organize marketing-related files and resources.
  • Assist with organizing, updating, and maintaining business and marketing contact lists, including newsletter audiences, networking contacts, and CRM records.

Administrative Support

  • Manage calendars, coordinate appointments, and assist with meeting scheduling and follow-up activities.
  • Support inbox management, task tracking, and prioritization of ongoing action items.
  • Assist with document organization, data entry, file management, and general administrative support.
  • Conduct research related to competitors, prospective clients, software platforms, and operational tools.
  • Help assemble proposals, contract documentation, onboarding materials, and supporting business documents.

Project Management and Operational Support

  • Assist with organizing and maintaining projects, workflows, and task lists within Zoho Projects and related systems.
  • Help develop, update, and organize Standard Operating Procedures (SOPs) and internal documentation.
  • Coordinate timelines, deadlines, and project follow-ups to support operational efficiency.
  • Support special projects and operational improvement initiatives as needed.

Required Qualifications

  • Prior experience in administrative support, marketing coordination, or executive assistance preferred.
  • Familiarity with social media platforms, Canva, Squarespace, Constant Contact, and Microsoft Office.
  • Knowledge of ChatGPT and other Artificial Intelligence tools a plus.
  • Knowledge of project management and CRM software packages a plus.
  • Strong organizational skills, attention to detail, and time management skills.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities and work independently.
  • Comfortable working in a dynamic small business environment with evolving priorities.

Work Environment and Physical Demands

This position operates in a hybrid work environment, combining remote work with onsite office-based tasks. The role requires prolonged periods of sitting at a desk and working on a computer. Reasonable accommodations may be made to enable individuals with disabilities to perform essential functions.

  • Ability to sit, type, and view a computer screen for extended periods
  • Occasional lifting of office supplies or files (up to 20 pounds)
  • Manual dexterity for keyboarding, filing, and handling documents
  • May require travel to client sites within the Buffalo region
  • Ergonomic workstation setup is encouraged for remote work
